A1. Acceptance of Terms
By accessing or using LigaX ("the Platform", "we", "our", "us"), you agree to be bound by these Terms of Service and Privacy Policy. If you do not agree to these terms, please do not use our services. These terms apply to all users of the Platform, including salon owners, individual stylists, mobile stylists, enterprise operators, and their customers.
A2. Description of Service
LigaX is an AI-powered booking and salon management platform designed for hair salons, individual stylists, mobile stylists, and beauty businesses. Our services include:
- Online appointment booking via public, shareable booking pages (per salon or stylist)
- AI-powered chatbot that answers client questions and accepts bookings around the clock
- AI hairstyle classification using computer vision — clients can upload reference images for styling suggestions
- Automated booking confirmations and SMS/email reminders (24 hours and 2 hours before appointments)
- Salon management dashboard including bookings, customer records, staff management, service catalogue, and analytics
- Booking deposit collection via Stripe, allowing salons to secure appointments with partial upfront payments
- Platform subscription management (Free, Premium, Enterprise plans)
- Portfolio and service showcase pages for marketing
- Customer relationship management (CRM) — visit history, preferences, spend tracking, VIP flagging
- Third-party integrations (e.g., Zapier, WordPress embed snippets)
- Newsletter subscriptions and blog content
A3. Account Registration
A3.1 Account Types
When registering, you select one of the following account types:
- Individual Stylist — solo stylists, freelancers, home-based or chair-rental professionals
- Mobile Stylist — stylists who travel to clients at homes, offices, or events
- Salon Business — established salons with multiple stylists and full-service offerings
- Enterprise / Corporate — multi-location salon groups, franchises, and corporate beauty providers
A3.2 Registration Information
To create an account, you must provide your email address, a secure password (minimum 8 characters), your business or salon name, and your account type. A phone number is optional but recommended for notifications. You may also register using Google OAuth, in which case we receive your name, email address, and profile image from Google.
A3.3 Account Accuracy
You agree to provide accurate, current, and complete information during registration and to keep your account information up to date. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. Notify us immediately at support@ligaxai.com of any unauthorised access.
A3.4 Account Termination
We reserve the right to suspend or terminate accounts that violate these terms, engage in fraudulent activity, or have remained inactive for an extended period.
A4. Salon Owner and Stylist Obligations
If you register as a salon owner, stylist, or business operator, you agree to:
- Provide accurate business information, service details, pricing, and availability
- Honour bookings made through the Platform unless cancelled in accordance with your stated cancellation policy
- Maintain all required business licences, insurance, and applicable health and safety certifications
- Respond to customer enquiries and booking requests in a timely manner
- Comply with all applicable laws, including consumer protection, data protection, and anti-discrimination regulations
- Not misrepresent services, pricing, or qualifications
- Ensure that deposit amounts collected through the Platform are reasonable and disclosed clearly to clients before booking
A5. Customer / Client Obligations
As a client using the Platform to book an appointment, you agree to:
- Provide accurate name, contact information, and booking details
- Arrive on time for scheduled appointments
- Cancel or reschedule with sufficient notice as required by the salon's cancellation policy
- Pay for services as agreed, including any deposits required at booking
- Treat salon staff with respect and comply with salon policies
- Ensure any reference images you upload are your own or that you have the right to share them
A6. AI Features and Recommendations
Our AI-powered hairstyle classification and chatbot features are provided to assist with booking and styling exploration. You acknowledge that:
- AI hairstyle recommendations and classifications are suggestions, not professional styling advice
- Final styling decisions should always be made in consultation with your stylist
- Results may vary based on image quality, individual hair characteristics, and other factors
- We do not guarantee specific outcomes from AI-generated recommendations
- Reference images you upload are processed by our computer vision models to generate suggestions and are stored on our servers
- The AI chatbot may not always have current availability information and should not be used as the sole source for time-sensitive booking decisions
A7. Subscriptions, Fees, and Billing
A7.1 Subscription Plans
LigaX offers three subscription tiers: Free, Premium, and Enterprise. Features available on each plan are described on our Pricing page. Paid subscriptions are billed on a recurring basis (monthly or annually) and are processed through Stripe.
A7.2 Booking Deposits
Salon owners may configure the Platform to collect deposits from clients at the time of booking. These deposits are processed via Stripe and transferred to the salon's connected Stripe account. LigaX facilitates but does not hold these funds.
A7.3 Fee Changes
Subscription fees are subject to change. We will provide at least 30 days' notice of any price increase before it takes effect for existing subscribers.
A7.4 Refunds
Refund policies for salon services and deposits are set by individual salons and displayed to clients before they confirm a booking. Platform subscription refunds are considered on a case-by-case basis. Please contact support@ligaxai.com.
A8. Cancellation Policy
Each salon or stylist on the Platform sets their own cancellation policy. Clients should review the cancellation terms displayed during the booking process before confirming an appointment. Late cancellations or no-shows may result in forfeiture of a deposit or an additional fee, as determined by the salon's policy.
A9. Intellectual Property
All content, features, and functionality of the Platform — including text, graphics, logos, AI models, software, and design — are owned by or licensed to LigaX and are protected by applicable intellectual property laws. You may not copy, modify, distribute, reverse engineer, or create derivative works from our content or technology without our express written permission.
A10. User Content
By uploading images, notes, or other content to the Platform, you grant LigaX a non-exclusive, royalty-free licence to use, process, store, and display such content solely for the purpose of providing our services. You retain ownership of your content and may request deletion at any time by contacting support@ligaxai.com. You represent that you have the right to share any content you upload.
A11. Prohibited Activities
You agree not to:
- Use the Platform for any unlawful purpose or in violation of any applicable law
- Harass, threaten, or harm other users, stylists, or Platform staff
- Submit false, misleading, or fraudulent information including fake bookings or reviews
- Attempt to gain unauthorised access to any part of the Platform, its servers, or connected systems
- Interfere with or disrupt the operation of the Platform
- Scrape, harvest, or collect user or business data from the Platform without permission
- Use automated systems, bots, or scripts to interact with the Platform in a way that imposes excessive load
- Impersonate another person, business, or entity
- Upload malicious code, viruses, or content that infringes third-party rights
A12. Disclaimers
THE PLATFORM IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED. WE DISCLAIM ALL WARRANTIES INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT GUARANTEE UNINTERRUPTED, ERROR-FREE, OR COMPLETELY SECURE ACCESS TO THE PLATFORM.
A13. Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY LAW, LIGAX SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING FROM YOUR USE OF THE PLATFORM OR ANY SERVICES BOOKED THROUGH IT. OUR TOTAL LIABILITY TO YOU SHALL NOT EXCEED THE AMOUNT YOU HAVE PAID US IN THE TWELVE MONTHS PRECEDING THE CLAIM.
A14. Indemnification
You agree to indemnify and hold harmless LigaX and its officers, directors, employees, and agents from any claims, damages, losses, liabilities, costs, or expenses (including legal fees) arising from your use of the Platform, your content, or your violation of these terms.
A15. Dispute Resolution
Any disputes arising from or relating to these terms shall first be addressed through good-faith negotiation between the parties. If unresolved, disputes shall be submitted to binding arbitration under the rules of a mutually agreed arbitration body in the United Kingdom.
A16. Changes to Terms
We may update these terms at any time. We will notify users of material changes via email or through a notice on the Platform at least 14 days before the changes take effect. Continued use of the Platform after the effective date constitutes your acceptance of the revised terms.
A17. Governing Law
These terms are governed by and construed in accordance with the laws of England and Wales, United Kingdom. Any legal proceedings shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Part B — Privacy Policy
B1. Introduction
LigaX ("we", "our", "us") is committed to protecting your privacy. This Privacy Policy explains what personal data we collect, how we use it, who we share it with, and what rights you have. It applies to all users of the Platform, including salon owners, stylists, booking clients, and visitors.
We are based in London, United Kingdom and comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
B2. Data We Collect
B2.1 Account Registration Data
When you create an account, we collect:
- Email address
- Password (stored as a secure hash — we never store your plain-text password)
- Business or salon name
- Phone number (optional)
- Account type (Individual Stylist, Mobile Stylist, Salon Business, or Enterprise)
- If you sign up via Google: your Google account name, email address, and profile picture
B2.2 Booking Data
When a booking is made through the Platform (whether by a client directly or by a salon owner on behalf of a client), we collect:
- Client name, email address, and phone number
- Chosen service, stylist, date, time, and duration
- Service price and any deposit amount
- Client notes, special requirements, and any custom form fields configured by the salon
- Reference images uploaded by the client for styling guidance
- Booking source (AI chatbot, public booking page, direct entry, phone, walk-in)
- Booking and payment status
B2.3 Customer Records (CRM)
Salon owners may maintain customer records within the Platform's CRM. These records may include:
- First and last name, email, phone number
- Address details (city, postcode — optional)
- Date of birth (optional)
- Internal CRM notes, tags, and VIP status
- Stylist and service preferences
- Preferred communication channel (SMS, email, or WhatsApp)
- Automatically computed visit statistics: total bookings, completed visits, no-shows, total spend, first and last visit dates
- Customer source (walk-in, referral, social media, website, AI chat, booking page)
B2.4 Payment Data
All payment transactions are processed by Stripe, a PCI-DSS compliant payment processor. We do not store your full card details. We retain:
- Stripe customer ID and payment intent ID
- Payment amount, currency, type (subscription or deposit), and status
- Subscription plan (Free, Premium, Enterprise) and billing status
- Refund records where applicable
B2.5 Reference Images and Visual Data
When clients or salon users upload images for AI hairstyle classification:
- Images are stored on our servers, organised by date
- They are processed by our computer vision AI model to generate hairstyle suggestions
- Images are not shared with third parties for advertising or marketing purposes
- You may request deletion of your uploaded images at any time
- Images are automatically associated with a booking or session where applicable
B2.6 Enterprise Enquiry Data
If you submit an enterprise enquiry through our website, we collect your company name, contact name, email address, phone number (optional), company size, number of locations (optional), and your message. This data is used solely to respond to your enquiry.
B2.7 Automatically Collected Data
When you use the Platform, we automatically collect:
- Device and browser type, operating system
- IP address and approximate location
- Pages visited, features used, and interaction patterns
- Referral URLs
- Session duration and frequency of visits
- Cookies and similar tracking technologies (see Section B7)
B2.8 Newsletter Subscriptions
If you subscribe to our newsletter, we collect your email address and use it to send you product updates and industry content. You may unsubscribe at any time.
B3. How We Use Your Data
We use the data we collect to:
- Create and manage your account
- Process and confirm bookings made through the Platform
- Send booking confirmation emails and SMS reminders (24 hours and 2 hours before appointments)
- Process subscription payments and booking deposits via Stripe
- Provide AI hairstyle classification and chatbot recommendations
- Maintain salon customer records (CRM) on behalf of salon owners
- Generate insights and analytics for salon owners (booking trends, revenue, customer retention)
- Respond to support enquiries and enterprise sales requests
- Send newsletter content where you have opted in
- Improve and train our AI models and Platform features
- Comply with legal obligations and enforce these terms
B4. Data Sharing and Disclosure
We may share your data in the following circumstances:
- Salon Partners: Booking and client details are shared with the salon or stylist you book with. This data is processed by the salon under their own obligations.
- Stripe: Payment data is shared with Stripe for processing subscriptions and deposits. Stripe's privacy policy governs their use of your data.
- Email and SMS Providers: We use third-party email and SMS services to deliver booking confirmations and reminders. Only necessary contact details are shared with these providers.
- Authorised Integrations: If a salon owner connects third-party tools (e.g., Zapier), data may be shared with those services in accordance with the salon owner's configuration and consent.
- Legal Requirements: We may disclose data where required by law, court order, or to protect the rights and safety of LigaX, our users, or the public.
We do not sell your personal data to third parties.
B5. Data Retention
We retain your personal data for as long as your account is active or as needed to provide our services. After account closure:
- Account data is deleted within 90 days of account termination
- Booking records may be retained for up to 7 years for tax and legal compliance purposes
- Uploaded images are deleted upon request or within 90 days of account closure
- Payment records are retained as required by financial regulations
B6. Data Security
We take data security seriously and implement industry-standard measures to protect your information:
- SSL/TLS encryption for all data transmitted between your browser and our servers
- Passwords are stored as secure hashes — never in plain text
- Payment data is handled exclusively by Stripe (PCI-DSS Level 1 compliant)
- Access to personal data is restricted to authorised personnel only
- Regular security reviews and updates
Despite our best efforts, no system is completely secure. Please notify us immediately at support@ligaxai.com if you suspect any unauthorised access to your account.
B7. Cookies
We use cookies and similar technologies to support authentication, remember your preferences, and understand how the Platform is used. Essential cookies are required for the Platform to function. You can control non-essential cookies through your browser settings, but doing so may affect some Platform functionality.
B8. Your Rights
Under UK GDPR, you have the following rights regarding your personal data:
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of inaccurate or incomplete data
- Deletion: Request deletion of your personal data ("right to be forgotten")
- Portability: Request your data in a structured, machine-readable format
- Restriction: Request that we limit how we process your data in certain circumstances
- Objection: Object to processing based on legitimate interests
- Opt-out: Unsubscribe from marketing communications at any time
- Withdraw Consent: Withdraw consent for processing where consent is the legal basis
To exercise any of these rights, please contact us at support@ligaxai.com. We will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
B9. Children's Privacy
The Platform is not directed to individuals under the age of 16. We do not knowingly collect personal data from children. If you believe we have inadvertently collected data from a child, please contact us at support@ligaxai.com and we will delete it promptly.
B10. International Data Transfers
Your data is primarily stored and processed in the United Kingdom and European Economic Area. Where data is transferred outside these regions (for example, by third-party service providers), we ensure appropriate safeguards are in place, such as Standard Contractual Clauses, in compliance with UK GDPR requirements.
B11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes via email or through a notice on the Platform. Continued use of the Platform after the effective date of any changes constitutes your acceptance of the updated policy.
